We are seeking a highly organized, efficient, and discreet individual to join the Caszyme team as an Executive Assistant, supporting our esteemed C-Level Executives. The Executive Assistant will play a pivotal role in managing schedules and communication, providing comprehensive administrative support, coordinating travel arrangements, resolving urgent matters, and ensuring the seamless day-to-day operation of the Executive Team.
• Serve as a pivotal link between the Executive Team, employees, key partners, and clients, fostering robust relationships through effective communication.
• Collaborate with the Executive Team to facilitate problem-solving, decision-making, and task prioritization.
• Meticulously manage the professional and personal calendars of the Executive Team, overseeing
scheduling, rescheduling, and prioritization of appointments and meetings.
• Assume responsibility for managing incoming and outgoing communication on behalf of the Executive Team, including phone calls, email drafting, email inbox management, and other inquiries, ensuring swift
responses and diligent follow-ups.
• Provide invaluable support for the Executive Team during meetings by preparing materials, aiding in
presentations, and actively participating in meetings to capture essential takeaways, action items, and
follow-ups.
• Expertly coordinate and oversee the Executive Teams international travel arrangements and schedules.
• Schedule meetings for trade shows and conferences attended by the Executive Team.
• Conduct research, gather and analyze data, prepare reports or presentations, and offer recommendations or alternative solutions to assist the Executive Team in decision-making and planning.
• Deliver comprehensive administrative support to the Executive Team, including expense management,
minor accounting tasks, invoice processing, supply procurement, and the handling of any other essential
administrative duties.
• Efficiently scan, organize, and maintain electronic documents, files, and records, ensuring accuracy, currency, and easy accessibility for the Executive Team.
• Assist the Executive Team in planning and organizing professional or personal events, managing various
tasks, overseeing logistics, and handling ad hoc requests and errands.
• Demonstrate proactive thinking, anticipating the needs of the Executive Team, and planning ahead with resourcefulness.
• Uphold a strict code of confidentiality and discretion when handling professional and personal sensitive
information, documents, and discussions, both within and outside the organization.
Requirements
• Possession of a combined degree in Business Administration and Life Sciences or relevant experience in
the Biotech or Pharmaceutical industry.
• Minimum of 2 years of related experience.
• Exceptional ability to consistently execute tasks, proactively solve problems, maintain meticulous
attention to detail, and effectively prioritize time and tasks.
• Outstanding communication, reporting, and relationship-building skills, accompanied by a high level of
emotional intelligence and the capability to nurture key relationships.
• Proficiency in managing workflows, priorities, diaries, and schedules for multiple individuals, including the Executive Team and yourself.
• Adaptability in learning and utilizing new software and technologies.
• Excellent proficiency in English, both in verbal and written communication, with strong interpersonal skills.
• A commitment to maintaining the utmost discretion and confidentiality regarding personal, financial, and sensitive information.
• The ability to work independently and proactively in a fast-paced, dynamic work environment.
