KEY RESPONSIBILITIES:
  • Managing day-to-day office operations: serving as the primary point of contact for all general office inquiries and emergencies, ensuring a clean, organized, and welcoming office environment, overseeing office infrastructure and resolving any facilities-related issues promptly, maintaining up-to-date fire safety documentation and evacuation plans etc.
  • Coordinating with vendors and service providers
  • Handling the preparation, modification, translation, and management of corporate documentation
  • Preparation of simple legal documents
  • Coordinating companies‘ share sale-purchase transactions, preparing required documentation and liaising with public notaries
  • Manage the end-to-end companies‘ incorporation and corporate change processes
  • Handling the process of opening and managing corporate bank accounts: preparing, completing, and submitting various corporate banking documents and applications; managing bank account user access rights and setting up user permissions; coordinating and updating signatory rights (for company representatives; liaising with banks regarding corporate account maintenance and compliance documentation
  • Ordering, submitting, and managing corporate documents via the electronic systems of the Center of Registers (JADIS, JANGIS, NTR); requesting and submitting certificates, extracts, and statutory documents from other public authorities
  • Update corporate shareholder structures and information in official registries
  • Handling simple KYC and compliance procedures
  • Providing comprehensive administrative and executive support to company leadership
  • Calendar management and scheduling appointments for Company’s top management
  • Information and data requests handling
  • Company’s website information and Company’s corporate profile update;
  • Monitoring, tracking of various policies’ validity, working with brokers on renewal
  • Collecting and submitting invoices&other financial documents to the accounting
  • Maintaining office supplies and inventory
  • Correspondence supervision

WHAT COMPANY IS LOOKING FOR:

  • Proven experience: 3+ years of experience as an Office Administrator, Personal Assistant, or in a similar administrative role
  • Language skills: Fluency in Lithuanian and excellent written and spoken English (as you will be working in an international English environment)
  • PC Literacy: Proficiency in Microsoft 365 (Word, Excel, PowerPoint, Teams)
  • Soft skills: Exceptional organizational abilities, time management, and attention to detail
  • Communication: Excellent interpersonal and communication skills with a professional, customer-oriented attitude
  • Proactivity: A proactive problem-solver who can work independently and handle multitasking efficiently
