Reporting to the IT Asset Manager, the IT Asset Analyst will be responsible for planning, tracking, reconciling, reporting, and administering the procurement of all technology components that span all hardware and software assets. This individual will be expected to work closely with Finance and all internal departments to plan, receive, investigate and process incoming vendor invoices specific to services received on behalf of the ongoing business. The individual must be able to work independently and as a team member with minimal supervision.

PRIMARY DUTIES AND RESPONSIBILITIES:

  • Establish relationships with IT Sourcing Team to identify technology process standards during the procurement process
  • Partner with Finance to prepare purchases including capital requisition
  • Financial duties include ensuring vendor invoices are investigated relative to agreed pricing terms, agreements and will work with Finance to ensure invoices are accurate
  • Maintain partnership with key vendors
  • Procurement of IT Hardware and Software assets ensuring available inventory across the enterprise
  • Assist with RFQ & RFI to seek vendor proposals and quotes
  • Utilize asset and business planning data to forecast capital requirements
  • Manage monthly reporting to track acquisition and end-of-life for replacement providing guidelines and recommendations to eliminate waste and increase efficiency by making the best use of existing IT assets
  • Participate in the development and distribution of a monthly reporting
  • Develop and maintain appropriate processes, policies, and standards to effectively govern and manage the asset processes
  • Train staff on Asset Management processes
  • Identify and enter assets into our internal system for monitoring & tracking
  • Partner with Endpoint Engineering to ensure PC standards and maintain a standard catalog of PC’s
  • Hardware and Software Inventory Management
  • Participate in physical inventory counts. Perform monthly audit of physical inventory against documented assets in Service Now. Identify and reconcile any discrepancies in a timely manner
  • Update asset management repository
  • Working with Endpoint Support manage the collection process of assets
  • May be required to be on standby/on call as part of this role

What your background should look like

EXPERIENCE AND EDUCATIONAL REQUIREMENTS:

  • Training in basic computer administration obtained through completion of technical vocational training or equivalent combination of experience and education
  • 1 - 3 years of related experience
  • Experience with technical procurement, research, purchasing, creation of purchase orders, purchase requisitions, capital requisitions, processing invoices
  • Ability to work independently and as a part of a team
  • Strong attention to detail
  • Experience with reporting with various tools
  • Solid experience with Microsoft Office tools
  • Proven presentation skills
  • Understanding of Personal Computers, components, and concepts
  • Basic understanding of financial rules
  • Experience in vendor relationship management
