Job description
To ensure the smooth running of the BMI GBS office as well as the Head of GBS’s office. Managing the diary and travel arrangements for Head of GBS, ensuring reception is managed, guests are greeted, meeting rooms are managed along with other facilities management duties.
Key Responsibilities:
- Serve as the point of contact for office administration duties including maintenance, supplies, equipment, invoices, etc.
- Oversee office condition and layout, and manage any changes (e.g. office reconfiguration)
- Partner with IT to ensure necessary equipment availability.
- Manage the office reception including meeting & greeting guests, managing deliveries etc.
- Liaise with facility management vendors, including cleaning, catering and security services.
- Dealing with suppliers on an operational basis.
- Health & Safety of the employees and guests in BMI GBS offices.
- Plan in-house or off-site activities, like onboarding of new starters, parties, celebrations and conferences.
- Manage the calendar and travel arrangement for Head of GBS and assist with daily administrative tasks.
- Coordinate arrangements for BMI GBS guests.
- Establish best practice office operations and procedures.
Requirements
- Previous experience in a corporate reception, office management or EA roles.
- Excellent customer service and administration skills.
- Ability to work under pressure.
- Excellent communication skills, written and verbal.
- Can-do proactive manner.
- Able to multitask and work to deadlines.
- Excellent English language skills (additional foreign language skills would be considered as advantage).
